Advanced computer skills in MS Word, a quick typing speed and able to navigate quickly in MS windows.
Proficiency with Simply Accounting, bookkeeping, accounts payable/receivable, payroll, and benefits.
Experience with computer file management and working with digital photos in MS Word.
Proofreading, grammar, formatting documents and basic math skills.
Self-directed, self-starter capable of determining priorities.
Strong multi-tasking capabilities.
Excellent work ethic with the ability to get along with others and communicate both parties expectations.
Practical common sense with ability to create innovative solutions.
Able to work in a team and independently.
Experience:
Five (5) years office administration experience in a fast paced environment.
Executive Assistant Duties/Responsibilities:
Review emails and schedule.
Liaise with other employees and discuss project tasks and progress.
Make travel arrangements for President and other persons as directed.
Schedule appointments and meetings.
Type reports from Dictaphone.
Type letters, reports, proposals through verbal dictation.
Create and edit templates.
Handle project billings.
Research topics for current information and costing on the Internet.
Other tasks as may be necessary.
Office Manager: Duties/Responsibilities:
Review corporate billings and ensure billings have been completed accurately and on time.
Make bank deposits, pay credit cards.
Payroll administrator.
Liaise with various clients (insurance broker, lawyers, accountants).
Complete and file GST returns.
Accounts Payable/Receivable.
Prepare flash reports (current bank information).
Review resumes and conduct interviews.
Track YTD corporate billings.
Complete employee orientation packages.
Set up new users on computers.
Troubleshoot computers as may be necessary.
Maintain filing system for all corporate records and payroll, etc.
Assist with development of promotional materials.
Assist with development of presentations.
Coordinate office functions.
Update/install software on computers as required.
Liaise with computer technician as required.
Make company purchases.
Supervise other clerical staff to assist in achieving above list of duties.
